What we collect

When you join the waitlist

Your email address, name, company, company size, industry, city, and which workshop format interests you. If you choose to give one, your mobile phone number and your text message consent choices (see Text messages below). We also record which page you signed up from and when.

When you send a host inquiry

Your organization's name and type, your name, email address, city, expected audience size, and your message. If you choose to give one, your mobile phone number and your text message consent choices.

When you visit the site

Our hosting provider keeps standard server logs, such as IP address, browser type, the pages requested, and the time of the request, to run and secure the site. We do not currently use analytics, advertising, or tracking cookies.

Payment information

We do not collect payment information yet. When registration opens, payments will be handled by our payment processor, and we will not store your full card number. We will update this policy before then.

Why we use it

• To tell you when workshop dates and prices are published, if you joined the waitlist.
• To reply to host inquiries and plan in-person workshops.
• To plan cohorts and choose host cities, using company size, industry and city.
• To send text messages, only in the categories you agreed to (see Text messages).
• To keep a record of the consent you gave, and to honor opt-outs.
• To run, secure, and fix the site.

We do not sell your personal information, and we do not use it for advertising profiles.

Where it is stored and who processes it

We use a small number of service providers that process information on our behalf, under their own security and confidentiality terms:

• Database: form submissions are stored in a Postgres database hosted by Neon.
• CRM: a copy of each submission goes to our customer relationship management system, which we use to organize follow-up and, where you have consented, to send text messages.
• Email delivery: confirmation and notification emails are sent through Resend.
• Hosting: the site is hosted by Vercel.

These providers may store data in the United States. We may also disclose information if the law requires it, or to protect our rights or the safety of others.

AI Weekend Workshop and PrivateRack AI are run by the same founders. We do not pass waitlist or host inquiry information to PrivateRack AI for its marketing. If you ask us about a PrivateRack assessment, we use what you share to answer you.

Email

When you join the waitlist we send one confirmation email. By joining, you agree to receive emails about upcoming workshops, such as new dates and cities. Every marketing email includes an unsubscribe link, and unsubscribing takes effect for all future marketing email. We may still send transactional emails about something you requested, such as a registration you made.

Text messages (SMS)

Giving a phone number is optional. If you do, our forms ask for two separate consents, each with its own checkbox. Neither box is checked for you, and marketing texts are never required.

Transactional messages

If you check the transactional box, we may text you about your account and services you have requested, such as registration confirmations, event reminders, and schedule changes. This box is required if you enter a phone number, because these are the messages the number is for.

Marketing messages

If you check the marketing box, we may text you promotional messages, such as announcements of new workshop dates and cities. This is optional and separate from transactional messages.

Frequency, charges, and opting out

• Message frequency varies. Message and data rates may apply.
• Reply STOP to any message to stop receiving texts from us. We will send one message confirming you have opted out, and nothing after that.
• Reply HELP to any message for help, or email hello@aiweekendworkshop.com.
• Consent to receive text messages is not a condition of any purchase.
• Carriers are not liable for delayed or undelivered messages.

Your mobile information is not shared

We do not share mobile information with third parties or affiliates for marketing or promotional purposes. Mobile opt-in data and consent are never shared with any third parties. The service providers listed above process your number only to deliver messages on our behalf.

Our record of your consent

For each box you check, we store the exact consent text shown to you and the time you submitted the form. If you leave the phone number blank, we store no text message consent at all.

How long we keep it

We keep waitlist and inquiry information while it is useful for the purposes above, or until you ask us to delete it. We keep records of consent and opt-outs for as long as we need them to show that we honored your choices.

Your choices and rights

• Unsubscribe from marketing email with the link in any marketing email.
• Reply STOP to stop text messages.
• Ask to see, correct, or delete the information we hold about you by emailing hello@aiweekendworkshop.com. We will respond within the time the law in your state requires.

Security

We use reputable providers, encrypted connections, and limited access to protect your information. No system is perfectly secure, and we cannot guarantee it.

Children

The workshop is for business owners and operators. We do not knowingly collect information from anyone under 18.

Changes

If we change this policy, we will update the date at the top of this page. If a change materially affects how we use information you already gave us, we will tell you before it applies.
